Traffic Safety Grant – Frequently Asked Questions (FAQ)
When is the A-19 due, and how do I request an extension? The A-19 submission due date will be listed in your award letter. If your agency needs more time due to equipment delays or other circumstances, you must submit an Extension Request Form. Extensions must be requested before the deadline.
Are funds awarded per unit or for the total amount requested? Awards are made per equipment piece, not by total lump sum. If you purchase an FST at a lower cost, you cannot reallocate remaining funds to another piece of equipment. Awards are not interchangeable across units.
Example: Award: 2 FST units at $600 each Total award: $1,200
Can we submit our A-19 before receiving the equipment? No. Equipment must be physically received before submitting your A-19. Shipping notifications, order confirmations, or invoices alone are not sufficient.
What is the process from application to reimbursement? Application Period: Agencies apply via online application tool (Formstack) Committee Review: Applications are scored and awarded at the annual committee meeting Award/Denial Letters: Agencies receive notification of award status A-19 Submission: Agencies submit A-19s and invoices via the A-19 Formstack link Review: WASPC reviews each request and approves reimbursement amounts Funding Received: Accounting receives annual funding (typically July/August) Payment Issued: Checks are processed and mailed after funds are available
When will reimbursement checks be sent? Reimbursement checks are typically issued in July or August, depending on when the program funding is released to WASPC.
What reporting is required? The A-19 submission form will ask for previous-year statistics. A separate annual report form will be due at the beginning of October. Important: Please do not submit the October report early—wait until September, as the report asks for current-year statistics.
How do we submit our A-19? All submissions must be completed online using the official Formstack link. Email submissions cannot be accepted. Please ensure all invoices are uploaded with your form.
What is considered an acceptable supporting document? Acceptable: ✅ Final, itemized invoices only Not acceptable: ❌ Acknowledgments ❌ Quotes ❌ Purchase orders ❌ Pro forma invoices ❌ Receipts without an invoice
What if our equipment is on backorder? If equipment will not arrive before the due date, please submit an Extension Request Form with an ETA.
Can we purchase different quantities than awarded? No. Quantities awarded by the committee cannot be increased or redistributed.
What if the equipment costs more than the award amount? Your agency is responsible for any costs that exceed the awarded per-unit amount.
Does sales tax count toward reimbursement? Yes. Sales tax listed on the invoice may be included in the reimbursement amount, up to the awarded per-unit price.
How do we know if our A-19 was received? You will receive an automatic email confirmation after successful submission. If you do not receive a confirmation, your submission may not have gone through.
Who can we contact for questions or help? For questions regarding awards, A-19 submissions, invoices, equipment eligibility, or extensions, please contact: Anastasia, WASPC
